Versatrans to Infinite Campus Data Integration
INTRODUCTION
The customer is a public school district in Minnesota that serves several cities. The district has over 30 schools and over 30,000 students. The customer is committed to providing a high-quality education for all students and is also committed to diversity and equity. The district offers a variety of programs and services to support student learning, including magnet schools, early childhood education programs, and special education services.
CUSTOMER PROBLEM
The customer needed to integrate student bus transportation information from Versatrance, a transportation management software system, into Infinite Campus, a comprehensive student information system widely used by school districts. The objective was to automate the data transfer process, enhancing efficiency, accuracy, and timeliness in updating transportation information in Infinite Campus.
SOLUTION
To fulfill this requirement, we implemented an automated Extract, Transform, Load (ETL) process to seamlessly transfer data from Versatrance to Infinite Campus. The ETL process involved the following steps:
- Data Extraction: We extracted the relevant student bus transportation details from the text files provided by Versatrance, which were received on a daily basis. The process ensured the extraction of essential information, including student IDs, bus routes, stop locations, and pickup/drop-off timings.
- Data Transformation: The extracted data underwent meticulous transformation to align with Infinite Campus’ data schema and format requirements. Data cleansing and standardization were performed, and mapping was established between Versatrance’s specific fields and the corresponding fields in Infinite Campus.
- Data Loading: We created a process to update the bus information for each student into the Infinite Campus’ database. The process was scheduled to run daily, ensuring regular updates of transportation information in Infinite Campus.
RESULTS
Efficiency and Time Savings: The automated data transfer process eliminated manual data entry tasks, saving valuable time and effort.
Real-Time Updates: Transportation changes made in Versatrance were timely reflected in Infinite Campus, ensuring accurate and up-to-date transportation information for students and parents.
CONCLUSION
The successful implementation of the ETL process facilitated seamless data transfer from Versatrance to Infinite Campus, streamlining the management of student transportation information. The automated solution improved efficiency, accuracy, and data timeliness, contributing to enhanced operational effectiveness for the customer.
